Purpose
Allow managers to review, approve, and monitor PTO Vacation and Personal Days requests submitted by their team members according to company policies.
Before You Start
- You must have Manager permissions.
- Employees must be associated with a contract that contains a PTO policy.
- Requests must be submitted by employees before they appear for approval.
⚠️ PTO Vacation and Personal Days are separate request types and may follow different company rules depending on the employee’s contract and country policy.
Accessing Team Requests
Path:
General Requests > Managees Requests
In this area, managers can:
- Review submitted requests
- Approve requests
- Reject requests
- Monitor request status
- Review request details and dates
Reviewing and Approving Requests
Steps
- Go to General Requests > Managees Requests.
- Locate the employee request.
- Open the request details.
- Review:
- Request type
- Requested dates
- Requested hours/days
- Employee comments or justification
- Approve or reject the request.
- Add comments if required by your company workflow.
Understanding Request Types
PTO Vacation
- Uses the employee PTO balance.
- PTO may accumulate based on:
- Hours worked
- Fixed allocation policy
- Some contracts may have accrual limits.
Examples:
- Canada PTO accrual:
Worked Hours × 0.065385 - US PTO Full Time:
Worked Hours × 0.069231
Personal Days
- Uses a separate balance from PTO.
- Available only for specific country policies (such as Canada).
- Personal Days do not accumulate year over year.
- Balance resets annually on 01/01.
Important Rules
- Approved requests deduct available balance automatically.
- Rejected requests do not impact employee balances.
- Personal Days and PTO balances are independent.
- Employees can only request available request types associated with their contract.
- Depending on company workflow, HR approval may also be required after manager approval.
Monitoring Employee Balances
Path:
Reports > Requests > Employees PTO Balance
Managers can use this report to:
- Review employee PTO balances
- Monitor used and available hours
- Validate employee availability before approving requests
Common Issues
Issue: Request is not appearing for approval
Likely cause:
The employee has not submitted the request yet.
How to solve:
Ask the employee to verify the request status in My Requests.
Issue: Employee cannot create PTO request
Likely cause:
The employee contract may not be associated with a PTO policy or request type.
How to solve:
Contact HR or system administration to review the employee contract configuration.
Issue: Employee does not have enough PTO balance
Likely cause:
The requested amount exceeds the available accrued balance.
How to solve:
Review the employee balance report before approving the request.
Issue: Personal Days are not available
Likely cause:
Personal Days may only exist for specific country policies or contracts.
How to solve:
Confirm eligibility with HR.
