Purpose
Allow employees to request paid time off (PTO Vacation or Personal Days) according to the PTO policy associated with their contract type. After submission, the request follows the company approval workflow and updates the employee PTO balance when approved.
Before You Start
- You must have an active Employee profile.
- Your employee contract must be associated with a valid PTO Policy. (check with your HR Team)
- A Request Type with behavior PTO or Personal Days must be available for your contract.
- You must have sufficient available balance for the requested hours/days.
- The request period cannot overlap with another approved absence request.
- Depending on company policy, manager and/or HR approval may be required.
⚠️ Personal Days and PTO Vacation are different request types and may use separate balances depending on your country policy.
Steps
- Go to General Requests > My Requests.
- Click New Request.
- Select the appropriate request type:
- PTO Vacation
- Personal Days (if available)
- Select the requested dates.
- Enter the total requested hours or days according to your company policy.
- Add a justification or comments if required.
- Submit the request.
- Monitor the approval status in My Requests.
Important Rules
PTO Vacation
- PTO balance may be accrued based on hours worked or granted as a fixed amount depending on your contract policy.
- Some policies have a maximum accrual limit.
- Approved PTO requests deduct hours from the available PTO balance.
Personal Days
- Personal Days use a separate balance from PTO Vacation.
- Personal Days are non-accumulative.
- The balance resets annually on 01/01 according to company policy.
- Unused Personal Days do not carry over to the next year.
Approval Workflow
- Requests may require Manager and/or HR approval.
- Requests remain pending until all required approvals are completed.
- Rejected requests do not deduct PTO balance.
- Approved requests automatically impact PTO or Personal Days balance.
Common Issues
Issue: I cannot see the PTO Vacation request type
Likely cause:
Your contract type is not associated with a PTO Policy or Request Type.
How to solve:
Contact HR or your system administrator to verify your contract configuration.
Issue: I do not have enough PTO balance
Likely cause:
Your available accrued PTO is lower than the requested amount.
How to solve:
Check your current balance in the PTO Balance report or reduce the requested hours/days.
Issue: I cannot see Personal Days
Likely cause:
Personal Days are only available for specific country policies (such as Canada).
How to solve:
Confirm with HR whether your contract includes Personal Days eligibility.
Issue: My PTO request is still pending
Likely cause:
The request is awaiting Manager or HR approval.
How to solve:
Monitor the request status in General Requests > My Requests or contact your manager.
