Reimbursements — How To: Approve or Reject Reimbursement Requests (Manager)

Purpose

Review and validate reimbursement requests submitted by employees.
After approval, the request proceeds to the next stage according to financial workflow.


Before You Start

  • The employee must have submitted a reimbursement request.

  • Required attachments must be included (if applicable).

  • You must have the Manager profile.

  • The employee must belong to your team.


Steps

  1. Go to Reimbursements > Managees Reimbursements in the left menu.

  2. Review pending requests.

  3. Open each request to verify amount, category, and attachments.

  4. Click Approve or Reject.

  5. Confirm the action.

Check the updated status after saving.


Important Rules

  • Approval does not necessarily mean payment has been processed.

  • Rejected requests must be corrected and resubmitted by the employee.

  • Some workflows may require Finance approval after manager approval.

  • Approved values cannot be edited unless rejected or canceled.


Common Issues

Issue: Approved reimbursement has not been paid
Likely cause: Payment depends on the Finance process and schedule.
How to solve: Confirm with Finance regarding payment status and processing timelines.


Issue: Cannot view attachment
Likely cause: The employee did not upload a file or the file format is unsupported.
How to solve: Ask the employee to resubmit the request with the correct attachment.


Issue: Request does not appear
Likely cause: The employee has not submitted it or is outside your reporting structure.
How to solve: Confirm submission and verify team hierarchy.
