Time Entries — How To: Submit a Retroactive Time Entry (Employee – Check-In / Check-Out Method Only)

Purpose

Register a missed clock-in or clock-out when using the Check-In / Check-Out method. After submission, the entry may follow your company’s approval workflow.


Before You Start

  • Your company must use the Check-In / Check-Out time tracking method.

  • The week must be open.

  • If the week was already submitted, it must be reopened by your manager.

  • The correct date and time must be known.

  • A justification is mandatory.

⚠️ This process does not apply to Free Booking or Total Hours methods.


Steps

  1. Go to Time Entries > My Timesheet.

  2. Select the Retroactive Entry option.

  3. Enter the correct date of the missed check-in or check-out.

  4. Fill in the exact time that was not recorded.

  5. Add a mandatory justification (e.g., “Forgot to clock in”).

  6. Click Save.

  7. Monitor approval status if your company requires validation.


Important Rules

  • Retroactive entries are only available for the Check-In / Check-Out method.

  • Justification is mandatory.

  • If the week is in Submitted, Approved, or Rejected status, it must be reopened before adding the entry.

  • Depending on company configuration, the retroactive entry may require manager approval.


Common Issues

Issue: I cannot see the Retroactive Entry option
Likely cause: Your company does not use the Check-In / Check-Out method.
How to solve: Confirm with HR which time tracking method applies to you.


Issue: I cannot add a retroactive entry
Likely cause: The week is locked.
How to solve: Ask your manager to reopen the week.


Issue: My retroactive entry is pending
Likely cause: Your company requires approval for retroactive entries.
How to solve: Wait for approval or contact your manager.
