General Requests — How To: Request a Holiday Swap (Employee)

Purpose

Request a compensatory day off after working on an eligible company holiday. After submitting the request, it follows your company's approval workflow.


Before You Start

- You must have an active Employee profile.

- Your manager must have approved or authorized you to work on the holiday, according to your company's policy.

- The Holiday Swap request type must be available for your location or contract.

- The worked holiday must be recorded correctly in your timesheet before requesting the day off.

⚠️ Both steps below are mandatory. 

Recording only the worked holiday or only submitting the request will not complete the Holiday Swap process.


Steps

1. Record the Worked Holiday

On the day you worked the holiday:

Navigate to Work Hub > Time Tracking > Time Entries > My Time Entries.

Create your time entry normally for the hours worked.

In the Description field, enter exactly:

holiday swap

Save the time entry.


2. Submit the Holiday Swap Request

After recording the worked holiday:

Navigate to Work Hub > Work Requests > General Requests > My Requests.

Click New Request.

Under Request Type, select the Holiday Swap request corresponding to the holiday you worked.

Example:

Holiday Swap US – Independence Day

Select the date of the compensatory day off.

Complete any required information.

Click Save to submit the request.


3. Track Your Request

Open Work Hub > Work Requests > General Requests > My Requests.

Review the request status:

  • Pending
  • Approved
  • Rejected

If necessary, open the request to review comments from your manager or HR.


Important Rules

Both actions are required:

  • Record the worked holiday in your Time Entry using the description holiday swap.
  • Submit the corresponding Holiday Swap request.

The description must be entered exactly as:

holiday swap

The compensatory day off is only processed after the Holiday Swap request follows your company's approval workflow.

Using a different Request Type may prevent the request from being processed correctly.


Common Issues

Issue: I cannot find the Holiday Swap request type

Likely cause:

The Holiday Swap request type is not available for your contract, location, or company.

How to solve:

Contact your HR team or system administrator to verify your Holiday Swap configuration.


Issue: My Holiday Swap request was rejected

Likely cause:

The request did not follow your company's Holiday Swap policy or required information was missing.

How to solve:

Review the rejection comments, update the request if allowed, or contact your manager or HR for guidance.


Issue: My compensatory day off was not processed

Likely cause:

The worked holiday was not recorded with the required description, or the Holiday Swap request was not submitted.

How to solve:

Confirm that:

  • Your worked holiday was recorded in Time Entries with the description holiday swap.
  • The correct Holiday Swap Request Type was submitted.
  • The request has been approved according to your company's workflow.
